Who we are
InventoryKit (InventoryKit) provides an online tool for landlords to create property inventory and inspection reports. We are the controller of the personal data described here. Contact us at hello@inventorykit.co.uk.
What we collect
- Account details. Your email address and the details needed to sign in, held through Wix Members. We do not see or store your password in readable form.
- Report content you enter. Property addresses, room and item descriptions, notes, ratings, meter readings, key and alarm details, names you choose to enter (for example the report creator or attendees), and your confirmations.
- Photographs you upload, with technical details such as the capture date and time, which are used to support the report.
- Payment records. When you buy a report PDF, payment is taken by Wix. We receive the order and payment status for that report. We never see or store your card number.
- Technical data such as your IP address, browser and device type, collected by Wix and our hosting to deliver the site and keep it secure, and cookies described in our cookie policy.
- Messages you send us by email.
You may enter personal data about other people, such as a tenant, in your reports. You are responsible for having a proper reason to record it. InventoryKit does not contact tenants or collect anything from them.
Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Creating your account and providing the reports you create | Contract: to provide the service you asked for |
| Taking payment and keeping a record of purchases | Contract, and legal obligation for accounting records |
| Keeping the service secure and preventing misuse | Legitimate interests |
| Replying to your messages | Legitimate interests, or contract where it concerns your order |
| Non-essential cookies and newsletters, where offered | Consent, which you can withdraw at any time |
We do not sell your personal data. We do not use your reports or photographs to train AI models, and we do not use automated decision-making that affects you.
Who handles your data
InventoryKit is built on Wix. Wix.com Ltd and its group companies host the service and provide account sign-in, file storage, checkout and payment processing, acting for us as processors, and for some purposes as independent controllers under their own privacy policy. Wix may use sub-processors and may process data outside the UK; it relies on recognised transfer safeguards. We disclose data to others only where the law requires it or you ask us to.
Your photographs are stored in private storage that is not shown to other users, and are only displayed to you through your signed-in account. This is a technical protection, not a guarantee against every possible exposure.
How long we keep it
We keep your account and reports while you have an account, so that you can return to them. A finished report is saved as a fixed version so that its record is reliable. If you ask us to delete your account and data, we will do so, except for records we must keep by law, such as payment records. Wix keeps its own records under its own policies.
Your rights
Under UK data protection law you can ask us for access to your data, to correct it, to erase it, to restrict or object to how we use it, and to receive it in a portable form. You can withdraw consent at any time. Email hello@inventorykit.co.uk; we will respond within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.
